Administrative Projects Coordinator

Overview

Since 2018 we at Sixty Inches From Center have been working to refine and test a way of designing and operating a worker-led arts organization and collective that is run by and centered around the needs of complex artistic communities, specifically within the Midwest. We see this process of organizational design as a creative project, requiring a creative, critical, and purposeful approach to processes, policies, and administrative work. 

With that in mind, Sixty is seeking an experienced administrator and project manager to join Sixty’s operations and organizational design team, to lead and support administrative tasks that are part of the operational backbone of Sixty. We’re looking for someone who understands how clear, effective, and values-aligned approaches to operations and administration within a collective like Sixty is a way to show care for ourselves and our communities, and is an essential component of world-building.

The responsibilities that anchor this role fall into three categories: 1.) general “office” administrative work to support a hybrid team with a significant number of people in Chicago, 2.) basic records management and financial administrative support, and 3.) administrative support for special editorial and advocacy projects.

This role ideal for someone with a clear commitment to and knowledge of cooperatives, solidarity economies, and Sixty’s communities of arts workers (Indigenous, diasporic, queer, trans, disabled, multidisciplined). Although there are benefits to the person in this role being based in Chicago, it also has the option of being 100% remote and is open to anyone based in the Midwest.

What You’ll Be Doing

Below is a list of the tasks and responsibilities included in this role, with many of the tasks being collaborative and shared between multiple members of the operations team.

General Administration

  • Board meeting coordination and post-meeting action item follow up (e.g. organizing board nomination candidates, sharing ambassador tools, deadline check-ins, location reservations).
  • All-team meeting coordination (e.g. location reservations, food orders, slide deck prep, post-meeting synthesis).
  • Supporting the implementation and updating of capacity-building and team culture-building initiatives (e.g. Sixty’s team feedback and evaluation process, retreats, accountability process development, organizational handbook revisions and updates, strategic planning support, etc.).
  • Co-monitoring and reviewing annual organizational needs, requirements, and services (e.g. org and staff insurance policies, employee compliance tasks, online platforms, tools and subscriptions–Mailchimp, Buffer, Typeform, WordPress, Dreamhost, Zoom, etc.).
  • Managing and creating team accounts for daily administrative and programmatic work (e.g. team emails, team access to accounts listed above, etc). 
  • Monitoring the info@sixty and payments@sixty email addresses.

Financial Admin (Accounting, Donations, & Payroll)

  • Tracking and filing monthly invoices and receipts for organizational activities, professional development requests, reimbursements, and other team purchases.
  • Attending monthly and/or bi-weekly check-ins with Sixty’s accountant.
  • Managing, reviewing, and approving some monthly subscriptions, invoices, and bills.
  • Occasional outreach and follow up to individual and foundation donors.
  • Co-monitoring and supporting Sixty’s compliance with annual government filing requirements (state, federal, payroll, income, unemployment, and other taxes).
  • Monthly review and refresh of active and inactive contractors.
  • Paperwork collection and instructional support for artists payments, when needed.

Special Projects Administration

  • Scheduling and correspondence with partners (creative partners, fiscally sponsored projects, and funding partners).
  • Supporting the creation of visual presentations and tools to share information about Sixty’s programs, projects, and plans.
  • Administrative support and follow up on expansive special projects and initiatives (e.g. Midwest Satellites, Sixty Collective, Editorial Partnerships).

What You’ll Need To Do It

  • A demonstrated alignment and commitment to Sixty’s mission and ethos and our core values.
  • Experience with arts administration and working independently and collaboratively with a team of people on time-sensitive projects.
  • A commitment to creating a collective space that is warm, open, healthy, generative, and challenging.
  • A strong work ethic and practice of minding the details, generative questioning, learning, and follow through.
  • Strong communication skills, discretion, self-responsibility, and the ability to work individually and collectively through challenges, roadblocks, miscommunications, and conflict.
  • A personality and passion for building and maintaining relationships with a wide range of artists, co-conspirators, collaborators, and community members.
  • Strong writing skills, project management skills, and an organized workstyle are required.
  • Experience with worker-led and nonhierarchical organizations or worker cooperatives and communities is a plus.
  • Experience with basic graphic design (e.g. slide decks, powerpoints, etc.) and updating and maintaining websites is preferred, but not required.
  • Access to a computer, a wifi connection, and familiarity with word processing and project management software (Google Drive, Proton Drive, Trello, Slack, etc.).

Payment + Timeline

This is a 12-month term employee contract position. The projected timeline of the role would be from July 20, 2026 to July 19, 2027.

The salary is $33,280 to $41,600, based on schedule and availability, at approximately 32 to 36 hours per week, with healthcare, dental, vision, and 6 weeks of paid collective slowdown and rest in the summer and winter. Payment is issued on the 1st of each month.

This role is 4 to 4.5 days per week, Mondays through Thursdays, as these are important meeting and collaboration days for the operations and project teams. There are occasional evenings requested (3x per year for board meetings) and availability for all-team meetings on the last Sunday of each month are required (except during collective slowdowns).This position will be reviewed 4-6 weeks prior to the end of the contract, with the possibility of the contract being extended for 6 to 12 months. If at the end of 12-months an extension is required or desired, we will discuss the terms of the extension together prior to the end of the contract, if/when that time comes.

The entire Sixty team takes two paid collective slowdowns each year: a 2.5-week Summer Slowdown starting June 19th (Juneteenth) and a 4-week Winter Slowdown starting December 1st.
